Creating and inviting candidates

When you click the plus button, you will be taken to the page where you can create a candidate.

You will see a screen consisting of three steps.

Step 1: Enter candidate details

In step 1, you fill in the candidate’s primary details. This includes the candidate’s personal information, but also, for example, which advisor you want to assign to the candidate or which norm group you want to use for the candidate’s reports (see reporting objective).


TIP: You can always change the advisor later. For example, you can first assign yourself as the advisor and then link the candidate to a different advisor at a later stage.

If you also want to assign tasks to the candidate right away, click the next button.

If you click “Save,” the candidate is saved and you can assign a task and send an invitation at a later time. Later in this manual, we explain how to invite a candidate or assign tasks at a later stage. If you click “Cancel,” nothing is saved.

TIP: If you accidentally entered the wrong email address for the candidate, you can correct it. If the invitation has already been sent to the incorrect email address, the candidate will receive an email at the new address asking them to confirm the change to the (new) email address.

Step 2: Assign an assessment, assessment programme, or process

While creating the candidate, in step 2 you select the desired process or assessment you want to assign to the candidate. If you select one of the two options, all available processes or assessments will be displayed.

To assign a standalone test or questionnaire, such as the Work-related Personality Adaptive, select “Assessments.” To assign a process to a candidate, select “Processes.” If no processes have been built or published in your environment yet, the list of processes will be empty.

Language settings when assigning
You can also easily find an assessment in a specific language by selecting a language.

Once you have found the desired assessment or process, click the “+” button. You can assign multiple assessments and processes to a candidate.

If you want to remove an assessment, click the small trash bin icon next to the assessment’s name, or click the overview of all assigned tasks and select the trash bin icon next to the task you want to remove.



You can find the overview of all assigned tasks in the top right corner — it is recognisable by three horizontal lines with two check marks.


Report settings and visibility
Want to change the report settings? In the task overview, under the gear icon, you can determine who gets access to the results first: the participant, the advisor, or both at the same time. In addition, you can set a different reporting objective (reference group) per report and choose between the various versions and languages of the reports available.

Step 3: Invite the candidate

Next, click “Next” in the bottom right corner to proceed to step 3 and send an invitation email to the candidate.

In step 3, you choose which email template you want to use as the invitation email for the candidate. You will then see a preview of the email that will be sent. By clicking “Personalise invitation,” you can further edit the invitation.

Please note: the link to the Assessment Platform is shown as a # in the email preview.

Send invitation immediately” is checked by default. If you prefer not to send an invitation email to the candidate now, uncheck this option. You will then be able to invite the candidate at a later time.



In addition, you can also set up a reminder email. Set the desired date and select the preferred email template. On the set date, a reminder email will automatically be sent to the candidate at 08:00 in the morning.

Invitation email
When you send an invitation email to a candidate, they will receive an email with a link to set a password. The candidate then gets access to their own account, where they can view and start all assigned tasks. The candidate can only get started once they have received an invitation email and have set a password for their account.

Click “Save” to save the settings and send the invitation email. 
The candidate is now ready to get started!
